Give it a bounded job
Write the assistant's job as a short set of responsibilities. It can answer from approved business information, collect a reason for calling and take a callback request. Test those tasks before adding more.
For example, a flooring owner could use it to collect the caller's name, phone number, location and the rooms they want quoted. The owner then discusses the work. The assistant should introduce itself as an assistant so the caller understands who is answering.
Covering that gap is useful without giving the assistant authority over the whole customer relationship.
Keep judgement with a person
A caller disputing an invoice needs someone who can review what happened. An upset customer needs room to explain the problem. A price conversation may depend on details the assistant cannot assess.
Route those calls to a person. Do not ask the assistant to improvise a discount, decide who is at fault or quote prices independently. A polished answer can still be wrong.
The same limit applies when the business information is incomplete. Silence in the instructions is a reason to hand over, not permission to guess.
Make an unanswered question lead somewhere
Set this sequence for anything the assistant cannot answer:
- Say so plainly. “I don't have that information” is enough.
- Take the details. Capture the question, name and callback number.
- Read them back. Let the caller correct the number and the request.
- Give a named callback window. Use a window the business has actually committed to, such as “this afternoon between two and four.”
- Put urgent calls through. Do not leave urgency sitting in a routine callback queue.
Callers asking for a person should get a human transfer in one step. They should not have to justify the request or repeat it through several prompts.
