- Count a week of missed calls. Use your phone's call log before buying anything. Note when calls cluster and separate repeat attempts from different callers. For example, check whether you miss most calls while unloading, during appointments or late in the day. - Give voicemail a useful promise. Say the business name, what details to leave and when you will call back. An example for a painter: “Leave your name, number and what you need painted. I return calls at lunch and after the day's job.” Only promise times you can keep.
- Protect fixed callback times. Put those windows in your day as actual tasks. Review voicemail and missed numbers together so someone who called twice does not become two separate callbacks. Keep a short note of what each caller needs before you move on.
- Add missed-call text back. Use it when you cannot pick up but can continue the conversation shortly. The message should identify the business and ask what the caller needs. It should not imply that an appointment is booked or that someone is already on the way.
- Forward unanswered calls after a few rings. Most carriers and phone systems can forward unanswered calls to a person or an assistant. Ask your provider how to configure it, then test it from another phone. Give the recipient clear instructions for routine enquiries, urgent calls and callers who want the owner.
- Put someone on the phone during the busiest hours. If the log shows a predictable rush, arrange cover for that period. For example, a roofing crew could have someone answer while the owner is on a roof. Give that person the information and callback authority they need.
