Guide · Salons & barbershops

How do salons and barbershops cut no-shows and get clients to rebook?

Make booking the easiest thing to do, confirm every appointment by text with an easy way to reschedule, and ask about the next visit before the client leaves the chair. Then follow up only the clients who didn't rebook, at the interval their service needs, instead of sending everyone the same promotion.

Make the first booking easy

Most no-shows and lost bookings start before the appointment exists. A client who has to guess is a client who waits.

  • List each service with a starting price and how long it takes. Say which services need a consultation first, like color corrections or extensions.
  • Use one booking link everywhere: your Google profile, your Instagram bio, your website and the text a missed caller gets back.
  • Answer the calls you miss. A caller who hears voicemail during a busy Saturday often books the next shop instead. A text back within a minute with your booking link keeps them.

Confirm in the channel clients actually read

Clients read texts. A confirmation when they book and a reminder a day or two before the appointment cut most of the "I forgot" no-shows.

  • Make it easy to reply to confirm or reschedule. A client who can move an appointment by text gives you the slot back instead of just not showing up.
  • State your cancellation policy once, plainly, at booking and in the confirmation. Enforcing it is your call; hiding it is what makes it feel unfair.
  • Text only clients who agreed to it, and honor STOP right away. A business texting customers also needs its number registered with the carriers first; that is what A2P 10DLC is.

Ask about the next visit before they leave

The best time to rebook is at checkout, when the client is looking in the mirror and happy with the result. Offer the next appointment at the interval the service needs. If they're not ready, note the interval so the follow-up goes out at the right time and not a week early.

Follow up the ones who didn't rebook

One friendly text at the client's usual interval, with the booking link, does more than a weekly promotion sent to everyone. Keep it short and personal: their name, their service, a link. If they don't answer, leave it there; a second nudge a few weeks later is plenty.

Measure the appointments, not the clicks

A tap on "Book now" is not an appointment. Track what your booking app already records: booked, showed up, rebooked. If the number of clients who rebook at checkout goes up and the no-shows go down, the system is working.

Questions

Should I charge a no-show fee?

That is your decision. If you do, say so when the client books and again in the confirmation, so nobody is surprised. PMI sets up the messages; fees stay with your booking app or card processor.

Do reminder texts need the client's permission?

Yes. Text clients who gave you their number for appointments and agreed to texts, include a way to opt out, and register your business number with the carriers before you start.

How often should I message clients?

Booking messages, plus one rebooking nudge at their usual interval. Anything more and clients start ignoring all of it.

How PMI handles this

Starter answers the calls you can't and texts missed callers your booking link. Growth adds review requests after every visit, two-way texting for reschedules and a Google profile that shows how to book. The Operating System sets up booking reminders and follow-up with you, connected to the booking app you already use where it allows it.
